Our commitment

To provide you with access to financial products and services, we collect certain of your personal information and ensure its protection. We comply with the Personal Information Protection and Electronic Documents Act (PIPEDA), a federal law protecting personal information, and any applicable provincial legislation. We/I also base this policy on the recommendations and code of ethics of the Chambre de la sécurité financière (CSF), our industry’s self‑regulatory organization.  

Responsibility  

We are responsible for the personal information we receive from our clients. We will protect this information regardless of how it is transmitted.   

Consent  

We will solely collect information with your consent. We will use your personal information, such as your name, address, date of birth, medical records, and lifestyle habits, to find financial products, concepts and services that meet your identified needs. By signing the consent form, you consent, on your behalf and that of your liquidators, administrators, or assignees, to:  

• Provide accurate information throughout our business relationship and as your situation evolves.

• Authorize us to use, share and disclose such information as necessary to our suppliers, associates and general managing agents that may retain certain information in their files for future use and recommendation by us, and any assignee.

• Authorize us to retain your personal information, including the medical information that appears on your application, in our paper and electronic files for as long as you wish to do business with us or as long as there is a business or regulatory need for us to retain the information.  

• Assign your file, including your personal information, to another agent or AGA to continue to serve your needs in the event of disability, death, retirement or any major event affecting our firm. However, you have the right to choose your agent at that time should you not agree with the one assigned.  

Reasons to collect/use/retain 

We collect all personal information (including medical and financial information and information about the company and related information) with your consent. We use and retain this information solely to provide advice, manage products or services you purchase through us, and advise you about new products and services that may interest you.

Limits of collection

We collect and retain only the information that helps us advise you, including personal, financial and medical information, and meet our regulatory obligations. We only use fair and lawful means to collect this information.    

Limits of use/disclosure/retention  

We will use and disclose your personal information to fulfill our functions, provide you with advice, and, if necessary, comply with the law. The personal information contained in your client file will be disclosed only to:

• Our employees and persons authorized by us, such as professionals, to assist you in areas outside our field of expertise.
• The companies whose products and services we offer and their employees and agents for their activities in providing or seeking to provide financial products and services to you or for any other related activities (and in connection with any other purpose you have authorized).  
• Selected third‑party service suppliers authorized by us; if they are located outside of Canada, your personal information can be subjected to the applicable laws, including access to information laws of public authorities, of other countries.
• Persons or entities to whom you have granted access or who are authorized to access it by law.

We are required to retain most of the information we collect for regulatory reasons, including the requirement to demonstrate that the recommendations we make are appropriate and meet your identified needs.

Per applicable laws and your written authorization, you have the right to review the personal information in your file. At your request, copies (and not originals) of other personal documents, such as insurance policies, wills or powers of attorney, may be retained in your file.

Accuracy of information

To make appropriate recommendations, we/I must receive accurate information. It is our responsibility to keep your personal information as accurate and up‑to‑date as possible. As circumstances permit, we will attempt to update your personal information to determine whether the recommendations we have made are still appropriate as your situation evolves.  However, we also rely on you to provide regular updates for the same reason. You can review the personal information we keep about you upon request.

Efforts to protect your personal information

All staff members, associate advisors, general managing agents and suppliers who have access to client files must protect this information, keep it confidential and use it solely for its intended purpose. We have also implemented physical and computer safeguards and other processes to protect customer information from unauthorized access.  

Per the principles and recommendations of PIPEDA, our employees are required to sign a confidentiality agreement at the start of their employment. We ensure they remain aware of the importance of protecting personal information and cybersecurity through regular training and content.   

How long we retain your personal information

Your personal information will be kept only for 1) the time required to fulfill the purposes for which it was collected, 2) the time required by the laws applicable to the products and services you have subscribed to with us, and 3) the time required to protect our rights in the event of recourse.

You can withdraw your consent at any time (subject to contractual or legal restrictions to provide us with reasonable notice) by contacting us.
